Are you getting ready to launch your Workday Compensation Review cycle and are wondering which of the many available audits you should use to ensure a smooth cycle from start to finish? Invisors has compiled a list of the most helpful audits just for you.

Keep an eye out for the ✨ symbol as you read, this highlights Invisors' favorite reports!

# 1 |   Audits to run before launch:

Employee Compensation Audit ✨
  • Use this report before launching your cycle to ensure your workers are assigned the correct compensation components. This will reduce the amount of manual intervention needed and start your review off right with accurate data.
    -  Focus on the Assigned Ineligible and Unassigned Eligible columns
    -  Remember – a worker is pulled into the cycle if they are assigned the plans(s) included in your review as of the Process Period End Date

Review Worker Manager Assignments/Changes

  • Verifying that workers are in the correct organization will ensure the right planner gets the right grid! Specifically, audit workers with a manager change on or after the organization snapshot date and decide on who should be planning for these workers.

Review Custom Planner assignments (if applicable)

  • If you have a custom planner group on the shared participation step, use the View Security Group task > enter the group that you have configured as your Shared Participation planner > click into the Assignable Role and review the Current Role Assignments.

Orphaned Organizations

  • It is best practice to have a Top-Level Organization specified on your Compensation Review Options so that orphaned organizations do not pull into the cycle. However, you should review any orphaned organizations (no superior) with active members and make corrections as needed.

Missing Manager Ratings

  • If your plan utilizes performance ratings to determine awards or pool amounts, missing ratings could cause incorrect calculations. Use the Employee Reviews report to find workers who are missing a Manager Rating.

In Progress Business Processes

  • It is best practice to make sure in-progress business processes are canceled or completed before you launch your cycle. The Manage Impacted Employees step in the Compensation Review process is very helpful in auditing these transactions. Otherwise, the participation rules will be used and changes can be processed automatically throughout the cycle.

Pool Amounts

  • The Distribute Pools step in the Compensation Review process is helpful in reviewing the pool amounts for each organization. Dig into the pools to confirm they are close to what you expect. You can also use the Compensation Review Budget Pools report for further analysis.

# 2 |      Audits to run while launched

Compensation Review Employee Participation Audit ✨

  • Use this report to find workers who were added/removed/pool changes and who performed the action.

Compensation Review Process Search Employees (Default)✨

  • This report can be used to group workers by different filters such as workers in error/warning, workers who received a lump sum, or workers who are high-performing. Your Comp Admin and Compensation Review Reviewer group can view and edit awards directly from this page. The domain that provides access to this report is Process: Compensation Review Process Reviewer.

Comp Review Calculations - Employee Details✨

  • You can use this report to do an overall confirmation that all awards look as expected at the individual employee level. Run this report throughout the cycle or once rollup is complete.

Compensation Review Process View Organization✨

  • Use this report to view the planning grid as your planner sees it for a specific process, planner, and top-level organization. This report is especially helpful for your Comp Admin and Compensation Review Reviewer (HRBP) teams to assist with troubleshooting a planner issue. Your Compensation Review Reviewer group can also edit awards via this task. The domain that provides access to this report is Process: Compensation Review Process Participant.

View Bonus Calculation✨

  • If your cycle includes a Bonus, this report will provide detailed information as to how the bonus was calculated. You can drill into discretionary and non-discretionary calculations by process, organization, employee and bonus plan. This is especially helpful when looking to understand proration details. The domain that provides access to this report is Process: Compensation Review Bonus Details.

Employees Removed from Compensation Review by Coordination of Events

  • Using this report will enable you to find workers who were updated based on your parallel rules.

Employees in Waiting Period for Compensation Review Process

  • This report allows you to review workers who fell into the waiting period defined on the plan.

Compensation Review Process Status Report by Hierarchy

  • This report can be used to see the status of your cycle - which organizations are awaiting action, manually advanced, sent back, or submitted. You can also use this report to review pool vs spend.

Compensation Review Merit Award Audit

  • Use this report to review comments/notes entered by your planners. We commonly copy this standard report and allow it to be run for all Organizations and Subordinates instead of a single Organization.

Review Promotions in Merit

  • Within this task, you can audit if any promotions need to be reviewed/approved via a Change Job process rather than automatically processed directly through the compensation review.

# 3 |    Audits to run after finalized

View Compensation Review Statement ✨

  • This task is used to view Compensation Statements for a specific event and organization. You can also create new statements from here for a specific individual or for the entire organization selected. This is the task we recommend Planners use to view their organization's statements. Admin and Planners can access statements here as soon as the Statement Release Date elected during the Release Compensation Review Statements task. Review your statements to ensure data has populated correctly.
    -  Remember workers cannot see their compensation statement until the effective date (or the employee visibility date, if specified).

Compensation Change

  • Review compensation changes effective between the cycle close date and the effective date by using the Compensation Changes report. You can decide whether the change should be rescinded and/or correct/rescind the cycle event.

Pool vs Spend trends

  • We commonly create a dashboard tab so you can see your Pool vs Spend by compensation review and specific metrics (e.g. location or manager). This is useful to see trends over time and any outlier locations, organizations, etc. with regard to spending.

# 4 |    Some Honorable Mentions

Compensation Spreadsheet

  • Allows you to view compensation at a more broad level. Showing you compensation package, guideline details, pay range and compa-ratio as well as other pertinent worker details.

Maintain Bonus Accrual Estimates

  • Use the Maintain Bonus Accrual Estimates task to estimate your bonus cost by organization, plan, and date parameters without having to launch a cycle. This report requires some setup and generally satisfies a finance requirement of being able to report on bonus accrual information for workers throughout the year.

Remember to always test your cycle from start to finish in Sandbox prior to launch in Production. Happy planning!
